Depending on how you interact with the Site and the Event, we may collect:

• Registration and identity details: your name, email address, phone number, job title, organisation/company, city or country, and any other details you provide in the registration form.
• Event participation details: your invitation and attendance status, session preferences, or accessibility requirements you choose to share, and communications with us.
• Technical and usage data: limited information collected automatically when you use the Site, such as IP address, device and browser type, and cookie or analytics identifiers, where applicable.

Please provide only the information requested. We do not intend to collect any special category or sensitive information through the Site beyond what you voluntarily provide (for example, accessibility needs) for the stated purpose.

2. How We Use Your Personal Data and Your Consent

We process your personal data on the basis of the consent you provide when you submit your registration, and, where applicable, for legitimate uses permitted under the DPDP Act. By ticking the consent box on the registration form and submitting your registration, you give your free, specific, informed, unconditional and unambiguous consent, by a clear affirmative action, for Sarvam to collect and process your personal data for the following purposes:

Consent to marketing communications: By providing your consent, you specifically agree that Sarvam may contact you to send promotions, product updates, release notes, new product announcements and other marketing communications relating to Sarvam’s products and services, through email and other contact channels you have provided. You may withdraw this consent at any time (see Section 7 below).

We will process your personal data only for the purposes for which consent has been given, or for a compatible purpose you would reasonably expect. If we intend to use your personal data for a new purpose not covered here, we will seek your fresh consent.

3. Notice Under the DPDP Act

This Policy, together with the consent notice presented at the point of registration, serves as the notice required under the DPDP Act.

4. How We Share Your Personal Data

We do not sell your personal data. We may share it with:

• Data Processors: trusted third-party service providers who process personal data on our behalf and under our instructions, for example, registration, hosting, email/communications, analytics and event-management providers, subject to appropriate contractual safeguards.
• Group and affiliates: our affiliates, where necessary for the purposes described in this Policy.
• Legal and regulatory recipients: authorities, regulators or courts where required by law or to protect our rights, users or the public.
• Event partners: only where you have separately consented, or where reasonably necessary for your participation (for example, a venue for access control).

5. Data Retention

We retain your personal data only for as long as necessary to fulfil the purposes for which it was collected, including the Event and related follow-up, and for so long as you have not withdrawn your consent, unless a longer retention period is required or permitted under applicable law. Where we are required by law to retain certain records, we will retain the relevant data for the period so mandated. When personal data is no longer required and there is no legal obligation to retain it, we will erase it or anonymise it in accordance with the DPDP Act.

6. Data Security

We implement reasonable security safeguards to protect your personal data against unauthorised access, use, disclosure, alteration or loss, and we require our Data Processors to do the same. In the event of a personal data breach, we will act in accordance with our obligations under the DPDP Act.

7. Your Rights as a Data Principal

Subject to the DPDP Act, you have the right to:

• Access: obtain a summary of the personal data we process about you and the processing activities.
• Correction and erasure: request correction, completion, updating or erasure of your personal data, subject to applicable legal retention requirements.
• Withdraw consent: withdraw your consent at any time, as easily as it was given. Withdrawal does not affect the lawfulness of processing carried out before withdrawal, and we will cease processing within a reasonable time unless another lawful basis or legal requirement applies.
• Grievance redressal: have your grievances addressed by us (see Section 9 below).
• Nominate: nominate another individual to exercise your rights in the event of your death or incapacity.

8. How to Opt Out or Withdraw Consent

You can opt out of marketing communications and/or withdraw your consent to the processing of your personal data at any time by:

• Email: writing to us at privacy@sarvam.ai with your request to opt out or withdraw consent, mentioning the email address and details used at registration.

Once we receive your request, we will action it within a reasonable time. Please note that if you withdraw consent for event-coordination purposes, we may be unable to process your registration or facilitate your participation in the Event.

10. Cookies and Analytics

The Site may use cookies and similar technologies to operate the Site, remember your preferences and understand usage. Where required, we will seek your consent for non-essential cookies. You can manage cookies through your browser settings; disabling certain cookies may affect Site functionality.

11. Children

The Site and the Event are intended for individuals aged 18 and above. We do not knowingly collect personal data of children. If we become aware that we have collected such data without appropriate consent, we will delete it in accordance with the DPDP Act.

12. Changes to this Policy

We may update this Policy from time to time. The updated version will be posted on the Site with a revised “Last updated” date. Where changes are material, we will take reasonable steps to notify you and, where required, seek your fresh consent. Your continued use of the Event website and participation in the Event will be deemed acceptance of the updated terms of the Policy.
