These Terms & Conditions (“Terms”) govern your access to and use of the Sarvam Epoch event website (the “Site”) and your registration for the Sarvam Epoch event (the “Event”). The Site and the Event are operated by Axonwise Private Limited, doing business as ‘Sarvam AI’, having its registered office in Bengaluru, Karnataka, India (“Sarvam”, “we”, “us” or “our”). By accessing the Site or submitting a registration, you agree to be bound by these Terms. If you do not agree, please do not use the Site or register for the Event.
1. The Event
Sarvam Epoch is an in-person event proposed to be held in Bengaluru, India. Details including the date, venue, agenda, speakers and format are as published on the Site and may be updated, rescheduled, relocated or cancelled by Sarvam at its discretion. We will endeavour to communicate material changes to registered and invited participants via the contact details provided at registration.
2. Registration is by Invitation Only
Attendance at the Event is strictly by invitation. Submitting a registration through the Site does not constitute confirmation of attendance and does not entitle you to attend the Event.
The registration process operates as follows:
- You may submit a registration request through the Site by providing the information requested in the registration form.
- All registration requests are reviewed by Sarvam at its sole discretion. We are under no obligation to accept any registration and may decline or shortlist requests without assigning any reason.
- If your registration is approved, Sarvam will issue you an invitation and any applicable confirmation, access credentials or instructions through the contact details you provide. Only persons who receive and accept such an invitation are permitted to attend.
- Invitations are personal to the invitee, non-transferable, and may not be sold, assigned or shared without Sarvam’s prior written consent.
Sarvam reserves the right to revoke an invitation or refuse or revoke admission at any time, including where information provided is inaccurate, where capacity is reached, or on grounds of safety, security or conduct.
3. Eligibility and Accurate Information
By registering, you confirm that you are at least 18 years of age and that the information you provide is true, accurate, current and complete. If you register on behalf of another person or an organisation, you represent that you are authorised to do so and to share their information with us. You agree to keep your details up to date and to promptly notify us of any changes.
4. Code of Conduct
All attendees, speakers, sponsors, exhibitors, media representatives, volunteers, vendors, and staff are expected to behave professionally. The following are prohibited:
- Harassment
- Discrimination
- Intimidation
- Abusive language
- Disruptive behaviour
- Stalking
- Unwanted physical contact
- Inappropriate photography or recording
- Offensive or unlawful conduct
- Damage to venue property
- Interference with Event operations
Attendees must comply with all reasonable directions issued by Event staff.
Health, Safety and Security. Attendees agree to comply with:
- Venue policies
- Emergency procedures
- Security screening
- Health and safety instructions
- Applicable government regulations
We may remove or refuse entry to any person who, in our reasonable opinion, behaves inappropriately, disrupts the Event, poses a risk to others, or breaches these Terms, applicable law or the venue’s rules, without any obligation to refund or compensate. Serious incidents may be reported to venue security or law enforcement where appropriate.
5. Recording, Photography and Publicity
Sarvam and its authorised personnel may photograph, film, record or livestream the Event, including images and audio of attendees. By attending, you consent to such recording and to Sarvam’s use of the resulting material for legitimate business, promotional, marketing and archival purposes across media, without any payment to you. If you do not wish to be featured, please notify Sarvam’s on-site staff, and we will take reasonable steps to accommodate your request. Attendees must not record sessions or capture confidential material except as expressly permitted by Sarvam.
6. Intellectual Property
The Site and all content on it, including the Sarvam name, logos, trade marks, text, graphics, layout and design, are owned by or licensed to Sarvam and are protected by applicable intellectual property laws. You may access and use the Site solely for the purpose of registering for and obtaining information about the Event. You may not copy, reproduce, modify, distribute, scrape, frame or create derivative works from the Site or its content without Sarvam’s prior written consent.
Speaker Content. Unless otherwise specified, all presentations, slides, demonstrations, recordings, workshop materials, videos, Event branding, logos, graphics and documentation remain the intellectual property of Sarvam or their respective owners. Attendance does not grant any license to reproduce, distribute, record, publish, modify, or commercially exploit Event content.
Participant Content. Where attendees submit content including presentations, demos, questions, feedback, testimonials, photographs, videos, or comments, they grant Sarvam a non-exclusive, worldwide, royalty-free license to use such content in connection with the Event and future promotional activities.
7. Acceptable Use of the Site
You agree not to:
- Use the Site for any unlawful, fraudulent or unauthorised purpose.
- Submit false, misleading or another person’s information without authorisation.
- Interfere with, disrupt, probe or attempt to gain unauthorised access to the Site, its servers or connected systems.
- Introduce any malware, or use any bot, scraper or automated means to access or collect data from the Site.
8. Third-Party Interactions
The Site may use third-party service providers (for example, for registration, hosting, analytics or communications) and may link to third-party websites. We are not responsible for the content, policies or practices of third-party sites. Your use of any third-party service may be subject to that party’s own terms and privacy policy.
Networking and Interactions. The Event facilitates networking among attendees. Sarvam does not endorse, verify, or guarantee attendee claims, business opportunities, investment opportunities, employment opportunities, vendor capabilities, or commercial discussions. Participants engage with one another at their own discretion.
9. Privacy and Data Protection
Your privacy is important to us. Our collection and use of your personal data in connection with the Site and the Event is described in our Privacy Policy, which forms part of these Terms and is available on the Site. The Privacy Policy explains, among other things, the purposes for which we process your data, including event coordination and contact, and marketing communications about Sarvam’s products, and how you may withdraw your consent or opt out.
10. Disclaimers
The Site and the information on it are provided on an “as is” and “as available” basis. While we take reasonable care, we do not warrant that the Site will be uninterrupted, error-free or secure, or that information about the Event is complete or free from errors. Any reliance you place on such information is at your own risk. Nothing in these Terms excludes or limits any liability that cannot lawfully be excluded or limited. Sarvam does not guarantee uninterrupted or error-free access to the Event website. The website may be updated, modified, suspended, or discontinued without notice.
11. Limitation of Liability
To the maximum extent permitted by law, Sarvam and its affiliates, directors, employees and agents shall not be liable for any indirect, incidental, special, consequential or punitive damages, or for any loss of profits, data, goodwill or business opportunity, arising out of or in connection with your use of the Site, your registration, or your attendance at (or inability to attend) the Event. Attendance at the Event and travel to and from the venue are undertaken at your own risk.
12. Indemnity
You agree to indemnify and hold harmless Sarvam and its affiliates from and against any claims, losses, liabilities and expenses arising out of your breach of these Terms, your misuse of the Site, or your conduct at the Event.
13. Changes to these Terms
We may update these Terms from time to time. The updated version will be posted on the Site with a revised “Last updated” date and will take effect upon posting. Your continued use of the Site or participation in the Event after changes to these Terms are updated on the website constitutes acceptance of the revised Terms.
14. Force Majeure
Sarvam shall not be liable for cancellation, postponement, interruption, or modification of the Event resulting from circumstances beyond its reasonable control, including but not limited to:
- Natural disasters
- Acts of government
- Public health emergencies, epidemics or pandemics
- Strikes or civil unrest
- War or terrorism
- Transportation disruptions
- Utility failures or internet outages
- Venue unavailability
15. Termination
Without prejudice to the other rights set out in these Terms, Sarvam reserves the right to cancel registrations, remove attendees, suspend website access, or terminate participation, for violations of these Terms or for conduct that may adversely affect the Event or its participants.
16. Governing Law and Jurisdiction
These Terms are governed by the laws of India. Subject to any applicable law, the courts at Bengaluru, Karnataka, India shall have exclusive jurisdiction over any dispute arising out of or in connection with these Terms, the Site or the Event.
